01Who we are and who this policy covers
King Landscaping and Maintenance (“King Landscaping”, “we”, “us”, “our”) is a landscaping, lawn care and property maintenance business operating in Nassau, Bahamas. For the purposes of data protection law, we are the data controller of the personal information described in this policy — meaning we decide what is collected and why.
This policy applies to information we collect through this website, through lead forms attached to our advertisements on Facebook and Instagram, through our online booking calendar, and through email, telephone and text message conversations with you.

02What information we collect
We only ask for what we need in order to come out, assess your property and quote for the work. That is normally:
- Your name — so we know who we are meeting.
- Your phone number and email address — to confirm the appointment, send you the quote, and reach you if we are delayed.
- The property address or area of Nassau — so we can get there and work out travel.
- What you need done — the service you are interested in, and whether the property is residential or commercial.
- When you want the work to start, and whether you are the owner or the decision-maker for the property — so we know whether to book a visit or simply keep in touch until you are ready.
- Your appointment details — the date and time you choose, and any notes you add.
- Anything else you choose to tell us in a message, email, text or phone call, including photographs of your property if you send them.
Information collected automatically
When you visit this website we, and the services we use, may also record technical information such as your IP address, device and browser type, the pages you viewed, how you arrived at the site, and the approximate region you are browsing from. See Cookies and tracking below.
What we do not collect
We do not ask for and do not want your bank details, card numbers, National Insurance number, passport details or any other government identification through this website or through our advertisements. We never ask for payment information by email or text message. If you receive a message claiming to be from us asking for any of that, it is not from us — please tell us.
03Where we get your information
Directly from you — when you fill in our booking form, choose an appointment time, email us, text us, or speak to us on the phone.
From Facebook and Instagram lead forms
We advertise on Facebook and Instagram, which are operated by Meta Platforms. Some of those advertisements use an instant form that opens inside the Facebook or Instagram app. If you complete one of those forms, Meta passes the answers you gave — typically your name, email address, phone number, the service you are interested in, your property type, your timing, and your area — directly to us, and we receive it in our customer records system.
Some of those fields may be filled in automatically by Meta using the details already on your Facebook or Instagram profile. You can review and change every field before you submit the form, and you are free not to submit it at all. Meta's own handling of your information is governed by Meta's privacy policy, not by ours.
When you submit one of those forms, you are asking us to contact you about your enquiry, and we will — by phone, email or text message. You can tell us to stop at any time; see Calls, texts and email.
From other people
Occasionally someone will refer you to us, or a property manager or spouse will book on your behalf. If you were referred to us and would rather we did not hold your details, email us and we will remove them.
04How we use your information
We use your information for these purposes and no others:
- To arrange and carry out your assessment — confirming the time, finding the property, and calling you if we are running late.
- To prepare and send your quote, and to answer your questions about it.
- To carry out the work you engage us for, and to schedule any ongoing maintenance.
- To follow up if you enquired but have not booked yet, or told us you were not ready — so we can check back when you are.
- To send you occasional useful information about looking after your property and about our services, if you have agreed to receive it. Every one of those messages has an unsubscribe option.
- To keep our own business records — quotes issued, work done, invoices, and correspondence.
- To improve our advertising and this website, by understanding which pages and advertisements people find useful.
- To meet our legal obligations and to establish, exercise or defend legal claims where we have to.
We rely on your consent where you have given it, on the steps necessary to enter into or perform a contract with you, and on our legitimate interest in running and marketing a landscaping business responsibly.
We do not sell your personal information to anyone, and we never have.
05Calls, text messages and email
When you give us your phone number through a booking form, an instant form on Facebook or Instagram, or in a message to us, you are agreeing that we may contact you about your enquiry and your appointment — by phone call, by text message (SMS) and by email.
- Service messages — appointment confirmations, reminders, changes, and messages about work in progress. These are part of the service you asked for.
- Marketing messages — occasional offers and seasonal reminders. We only send these where you have agreed to receive them.
How to stop them
- Text messages: reply STOP to any message from us and we will stop texting you.
- Email: click the unsubscribe link at the bottom of any marketing email, or email us and ask.
- Phone calls: tell us on the call, or email us, and we will note it on your record.
Opting out of marketing does not stop us from sending you the practical messages about an appointment you have actually booked. If you want us to stop contacting you altogether, say so and we will close your record.
Message and data rates from your mobile provider may apply. We do not charge for any message we send you.
06Who we share your information with
We share your information only with the companies that help us run the business, and only so far as they need it to do their job. They are bound to keep it secure and may not use it for their own purposes.
| Who | What they do with it |
|---|---|
| Clickvert Media (our marketing and CRM provider) | Hosts this website and holds our customer records, appointment calendar, quotes and message history. Our email and text messages to you are sent through their platform. Clickvert Media and the infrastructure providers behind it store this information on servers in the United States. A list of those providers is available on request. |
| Meta Platforms (Facebook, Instagram) | Delivers our advertisements and passes us the answers you give in an instant form. Meta also receives information about visits to this website through the Meta pixel — see Cookies and tracking. |
| Website analytics through Google Analytics, which tells us how people use this site, and our Google Business Profile listing and its reviews. | |
| Our own team and any subcontractors | The name, address, contact number and job details needed to turn up at the right property and do the right work. |
| Professional advisers, insurers and authorities | Only where we are required to by law, or where it is necessary to establish or defend a legal claim. |
We do not share your information with anyone else, and we do not sell, rent or trade it.
07Cookies and tracking
This website uses a small number of cookies and similar technologies:
- Necessary cookies set by our website platform so the pages and the booking form work properly.
- Analytics cookies, set by Google Analytics, that tell us which pages people read and where they leave, so we can improve the site. This is counted in aggregate, not read as a report about you personally.
- Advertising cookies and the Meta pixel, which we use to measure whether our Facebook and Instagram advertisements are working, and to show relevant advertisements to people who have visited this site. This involves Meta matching your visit to your Facebook or Instagram account where you have one.
Controlling them
Every major browser lets you block or delete cookies in its settings; blocking them may stop parts of the booking form from working. You can also limit advertising tracking in your Facebook and Instagram settings, under Ads Preferences, and in your device's privacy settings. Where a cookie banner is shown on this site, your choice there is respected.
08Where your information is stored
We are based in The Bahamas, but the systems we use to hold customer records and send messages are operated by companies based in the United States, and your information is stored on servers there. Meta also processes information outside The Bahamas.
This means your personal information is transferred out of The Bahamas. We only use established providers who commit contractually to protecting it and to applying appropriate safeguards. By sending us your details, you understand that they will be stored and processed in this way.
09How long we keep your information
- Enquiries that do not become work: up to 24 months from your last contact with us, in case you come back to us, then deleted.
- Customers: for as long as we are working for you, and for 7 years afterwards, so we have a record of quotes, work carried out and payments — and so we can help if a question comes up about a job we did.
- Marketing contacts: until you unsubscribe or ask us to stop, and then only the minimum record needed to make sure we do not contact you again by mistake.
You can ask us to delete your information sooner. See Deleting your information.
10Your rights and choices
You have the right to:
- Ask what we hold about you, and receive a copy of it.
- Have it corrected if it is wrong or out of date.
- Have it deleted, where we do not have a legal reason to keep it.
- Withdraw consent to marketing at any time, without giving a reason.
- Object to how we are using it, or ask us to restrict what we do with it.
- Complain if you think we have handled your information badly.
To use any of these, email [email protected]. We will not charge you and we will reply within 30 days. We may need to confirm who you are first, so that we do not hand your details to someone else.
If you are in The Bahamas
Your information is protected under the Data Protection (Privacy of Personal Information) Act, 2003. If we cannot resolve your complaint, you may bring it to the Office of the Data Protection Commissioner of The Bahamas.
If you are in the United Kingdom or the European Union
Where the UK GDPR or EU GDPR applies to you, you have the equivalent rights under that law, including the right to data portability and the right to complain to your national supervisory authority.
11Deleting your information
You can have your record removed at any time. Email [email protected] from the address you gave us, or from any address, with the words “Delete my data” and the name and phone number you used.
We will confirm within 30 days that your information has been deleted from our customer records system and that you have been removed from all of our email and text message lists.
Two things we should be straight with you about. First, if we have carried out paid work for you, we have to keep the invoice and the basic job record for accounting and tax purposes — we will delete everything else. Second, deleting your information with us does not delete anything Facebook or Instagram holds about you; for that you need to use the privacy settings in your Meta account.
12How we keep it safe
Your information is held in password-protected, access-controlled systems, and only the people who need it to do their work can see it. Our website is served over an encrypted connection. Our providers encrypt data in transit and at rest.
No system is completely secure and we will not pretend otherwise. If a breach ever occurs that puts your information at real risk, we will tell you and the relevant authority promptly, and tell you what to do about it.
13Children
Our services and our advertising are directed at property owners and decision-makers, and are not intended for children. We do not knowingly collect information from anyone under 18. If you believe a child has given us their details, email us and we will delete them.
14Other websites and services
This site may link to other websites — a supplier, a review page, our Facebook page. Once you follow a link you are on someone else's site, governed by their privacy policy, not ours. We are not responsible for their content or their handling of your information.
15Changes to this policy
We will update this policy when what we do with your information changes, or when the law does. The date at the top of the page always shows when it was last revised, and the current version is always the one published here. If we make a change that materially affects how we use information we already hold about you, we will tell you directly before it takes effect.
